The framework dedicates 40 percent of effort to preparation, which includes crafting a concise agenda and sharing pre-read materials at least 24 hours in advance. Only 20 percent of the effort occurs during the meeting itself for focused discussion and alignment. The final 40 percent covers follow-up tasks, summarizing outcomes, and assigning action items to ensure accountability.

Effective meeting preparation also requires distinguishing a standard business meeting from a general event. Business meetings are held for specific educational or informational purposes, such as communicating a new venture, project update, or human resources training. Clear scheduling and explicit agendas prevent these gatherings from turning into time sinks.
