Pennsylvania Court System Updates Case Access Protocol

Pennsylvania’s Unified Judicial System (UJS) has a protocol in place regarding access to case information, particularly for cases in the Magisterial District Judge System. As of April 1, 2012, a new procedure was implemented to address the accessibility of public web docket sheets when official paper case records have been destroyed.

According to the UJS, this protocol ensures that if official paper case records have been destroyed in accordance with the Record Retention and Disposition Schedule with Guidelines (“Schedule”) – as outlined in Pa.R.J.A. No. 507 – the corresponding public web docket sheet will no longer be accessible. This action is consistent with the Schedule’s overall goal of implementing consistent record disposition practices throughout the UJS.

The UJS emphasizes that recent entries made in court filing offices may not immediately appear on these docket sheets. A disclaimer on the UJS website states that neither the courts nor the Administrative Office of Pennsylvania Courts assumes liability for inaccurate, delayed, or missing data on these docket sheets.

The UJS explicitly advises against using docket sheet information as a substitute for a formal criminal history background check, which can only be obtained from the Pennsylvania State Police. The system also notes that employers failing to comply with the Criminal History Record Information Act (18 Pa.C.S. Section 9101 et seq.) may face civil liability as outlined in 18 Pa.C.S. Section 9183.

The UJS clarifies that the webpage providing access to these docket sheets is operated and maintained by the Commonwealth of Pennsylvania and is not affiliated with any private organizations offering similar search services for a fee. Access to the information on these web docket sheets is provided as a free public service.

Resources for Searching Pennsylvania Court Dockets

Several online resources are available for searching Pennsylvania court dockets. PA Court Filings provides access to criminal case filings across the state, allowing users to search by county and filing date. The Case Search tool on Pennsylvania’s Unified Judicial System website allows searches for both Magisterial District Court and Appellate court cases.

The Pennsylvania Court Dockets website offers a search function for ongoing cases, court dates, case summaries, and other related information. The OOR Decisions (Docket Search) tool allows users to locate dockets and documents related to appeals issued by the Office of Open Records, including any subsequent court documents related to those appeals.

As of today, February 5, 2026, these resources remain available for public use in accessing information about Pennsylvania court cases, subject to the UJS’s record retention and disposition schedule.
